PURPOSE OF JOB: This position is accountable for efficient administrative support to the Marketing Manager in order to maximize tenant sales and center profitability.

JOB REQUIREMENTS: Basic knowledge of administrative functions 2-3 years of secretarial/administrative experience or comparable education BA/BS in Marketing or Business preferred, but not required Basic knowledge of Microsoft Word, Excel, Power Point Knowledge of publishing programs helpful
ESSENTIAL DUTIES AND RESPONSIBILITIES: General Administrative: Process all Accounts Payables / Receivables Prepare Purchase Orders and Agreements Assists in preparation of monthly reports Prepares daily documents related to gift card sales Aids office team in answering telephone calls in the office Greets and assists office visitors Marketing Administrative: Assists Marketing Manager with delivery of advertising lease agreements Supports and responds to requests of the Customer Service Manager Composes and coordinates printing of monthly customer and tenant newsletters Reconciles, records and submits all marketing income and expense Promotions/Event Marketing under direction of Marketing Manager: Contacts mall tenants regarding promotional/event participation Coordinates necessary personal for promotions/events Assists Marketing Manager with holiday set personnel, troubleshoots set/customer issues, coordinates pet night, assists customers with special circumstances Supervise event set-up and implementation. Ensure timely payment, set-up and take-down. Manage Kids Club program
WORK ENVIRONMENT: The Marketing Administrative Assistant works closely with and under the direction of the Marketing Manager. He/she is in constant contact with mall personnel and must coordinate efforts with housekeeping and/or maintenance personnel during promotions. The Marketing Administrative Assistant has extensive tenant contact in coordination of promotion arrangements. He/she interacts with the public when answering telephone calls and in person in the office. The Marketing Administrative Assistant explains common area usage policies and procedures to interested parties and is in contact with Home Office personnel, vendors, or media representatives to give or receive information. The Marketing Administrative Assistant largely performs standard, routine administrative functions of a diversified nature. The Marketing Administrative Assistant screens questions and requests from tenants, vendors, and the public, and responds to or resolves problems as qualified. All work is closely supervised and/or subject to review.
